Vacancy: Computer Clerk (Grade M10/S6)

Blantyre City Council invites applications for the position of Computer Clerk (Grade M10/S6) tenable in the Directorate of Administrative Services at Civic Offices, Chichiri, Blantyre.

Job Summary:

The Computer Clerk supports the administrative functions of the City Council by managing computer-based tasks and maintaining digital records. This role involves data entry, database management, and providing technical assistance to ensure efficient operation of the City Council’s digital systems.

Reporting To             :           Assistant Systems Analyst

Qualification              :           Certificate in ICT

Age & Experience     :           Between 20-35 years of age with at least 2 years’ experience in a                                                     similar position.

Key Responsibilities:

  • Data Entry and Management: Enter and update information into the City Council’s databases and digital systems accurately and timely.
  • Digital Records Maintenance: Maintain and organize electronic records, ensuring all documents are up-to-date and easily accessible.
  • Technical Support: Provide basic technical support for office staff, troubleshooting common computer issues and coordinating with IT support for more complex problems.
  • Correspondence Handling: Prepare and distribute digital correspondence, including emails, newsletters, and official documents.
  • Reporting: Generate reports from databases and other digital systems as requested by the City Council or office manager.
  • Website Updates: Assist in updating the City Council’s website with current information, notices, and public announcements.
  • Meeting Support: Prepare digital presentations and documents for City Council meetings, and assist with the setup of audio-visual equipment as needed.
  • Compliance: Ensure all digital records and processes comply with local, state, and federal regulations.
  • General Administrative Duties: Perform other administrative tasks as required, such as filing, scanning, and assisting with special projects.

Skills:

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Basic understanding of database management and digital filing systems
  • Strong attention to detail and accuracy
  • Excellent organizational and time-management skills
  • Good written and verbal communication skills
  • Ability to troubleshoot basic computer issues and provide technical support

Working Conditions:

  • Environment: Office setting within the Town hall.
  • Hours: Full-time position; typical office hours  with occasional odd hours
  • Physical Requirements: Ability to sit for extended periods, use a computer for long durations, and occasionally lift light office supplies.
